Postitions & Responsibilites
Official Club Documents



President:

  • Responsible for the overall running of the club.
  • Make sure every team has a coach.
  • Sort out any problems that occur with anything the club is involved with.
  • Chair club committee meetings.
  • Attend CVA meetings as club representative.
  • Organise club nights and prize giving.
  • Present club awards at prize giving.


Secretary:

  • Keep all club correspondence in an organised fashion.
  • Send letters as required.
  • Send reminders of meetings to committee members.
  • Take minutes at meetings and distribute to committee members.
  • Help prepare documents as required eg certificates for prize giving.


Treasurer:

  • Pay all club accounts.
  • Keep general ledger to track club expenditure and income.
  • Bank money received.
  • Present accounts for payment for approval at committee meetings.
  • Present financial report of current position at committee meetings.


Membership: (Currently done by Secretary)

  • Collect player registration forms for every club player.
  • Prepare club membership list.
  • Collate team lists.
  • Register players with VNZ and CVA.
  • Enter teams into CVA, Southern Zone and National competitions.
  • Present requests for scholarships and reduced subs to committee meetings.
  • Collect the subs.
  • Bank the subs and maintain spreadsheets that balance subs received with subs banked.
  • Maintain a spreadsheet of subs paid and report to each committee of progress of subs collection.


Gear Manager: (Can be separated into two positions, Beach Gear and everything else)

  • Keep lists of who is holding club uniforms and gear (balls).
  • Retrieve uniform and balls at the end of the playing season and organise for it to be cleaned.
  • Check for numbers of sets held.
  • Make recommendations at committee meetings to purchase more uniforms and other gear as required.
  • Store gear securely during the off season.

    Beach (Currently Beach court controller's responsibility)
  • Keep gear safe during the beach season.
  • If gear is loaned/hired out ensure it is returned in good condition.
  • Collect bonds and rentals for gear hires and pass on to the treasurer or beach administrator.
  • At the end of the beach season check all the sets for damage and completeness and return to the Club Gear manager for storage.


Funds Co-ordinator: (Currently Treasurer)

  • Attend committee meetings to stay up to date with club funding requirements.
  • Make applications to gaming charities to obtain funds to support
    - Gym Hire
    - Uniforms
    - Balls and other equipment.
    - Competition entry fees
    - Cost of travel
  • Request quotes from suppliers or organise other involved people to request quotes.
  • Prepare and send applications.
  • For successful applications follow up purchase of equipment and return of paperwork to relevant charity within required time.


Thursday Night Co-ordinator:

  • Must be reliable and take overall responsibility for all facets of organising Thursday night competition.
  • Organise door person(s) to collect entry fee and act as court controller(s).
  • Organise budget and obtain approval at club committee meeting.
  • Liaise with CVA to obtain team entry and contact lists.
  • Ensure the competition runs smoothly and be available to answer any team queries.
  • Send each night’s results to whoever updates the results site.
  • Make sure prizes are arranged for finals night.
  • Present prizes on finals night.


Newsletter Editor: (Currently President & Secretary)

  • Attend meetings to stay up to date with current events within the club.
  • Produce newsletters in February, April, June, August and October at a minimum.
  • Liaise with coaches to have regular team reports included in each bulletin.
  • Liaise with president for report for each bulletin.
  • Edit and format submitted articles.
  • Organise for newsletter to be printed and distributed.


Club Policies & Procedures: (Currently President)

  • This role is one that is big at the moment because the club does not have any polices or procedures documented. When these have been written and put onto the web for easy access the only job required will be to keep them up to date as decisions made at committee meetings change how the club does things.
  • Needs to attend committee meetings or at least read the minutes.
  • Needs to be familiar with the club constitution.


Coaches:

  • The people that make the reason we do everything else happen.
  • Select the teams.
  • Run training.
  • Organise team strategy at all competitions and game nights.
  • In absence of a manager organise the players to be at games on time.
  • Chase up players to pay their subs.
  • Organise the team when travelling away.


Team Managers:

  • Take over some of the organising responsibilities from the coach.
  • Work with the coach to help out as required.
  • Can involve helping to funds co-ordinator to apply to charities to support the team’s travel expenses.
  • Could help organise fund raising efforts of the team.


Website Manager: (Currently Secretary)

  • Attend committee meetings to stay up to date with club business.
  • Keep the Hornby Volleyball Club website up to date by providing the web designer with up to date information in a timely fashion.


Beach Co-ordinator: (Currently Treasurer)

  • A big job and very important to the club must attend committee meetings during the beach season.
  • Set the dates for the competitions.
  • Organise with CVA to send letter to Christchurch City Council for permission to use the Beach.
  • Prepare proposal for sponsorship with The Cave and 92.1 MORE FM.
  • Act as liaison with 92.1 MORE FM. Ensure the correct logos are used and displayed at the beach.
  • Organise budget and obtain approval at club committee meeting.
  • Contract with beach court controller(s).
  • Contract with beach administrator.
  • Contract with draws and web editor (Mike Rickerby).
  • Organise sausage nights two per competition.
  • Ensure the competition runs smoothly and be available to answer any team queries.
  • Be present at first night to give official welcome from the club.
  • Make sure prizes are arranged for finals night.
  • Present prizes on finals night.
  • Write final report and send to 92.1 MORE FM.


Beach Administrator: (Currently Treasurer)

  • Prepare entry forms and organise for them to be printed and available from 92.1 MORE FM and on the CVA website.
  • Post out entry forms to enquiries.
  • Accept all entries and collate team lists and player registration lists.
  • Bank all fees and keep spreadsheets to balance banking received against team list of entries paid.
  • Go to the beach to chase up teams who have not paid.


Beach Court Controllers: (Currently Mike & Amanda)

  • Organise the setting up and taking down of nets for each competition day:
    - arrange assistance for setting up as required
    - ensure all nets and balls are returned after each event.
  • Act as court controller for events including:
    - supervise each round of competition (time keeping, directing teams to courts, ensuring teams have opposition for ‘default’ games etc)
    - collect and collate results for each competition and give to web editor.
  • Notify 92.1 MORE FM of cancellations of any events.
  • Assist the person organising the draws in arranging the draw for each night.
  • At the end of the summer: return all gear cleaned with a list of any broken or missing equipment.
